The UK Office Relocation Checklist: 12 Weeks to Move In Day

Most office moves go wrong for the same reason: the search starts too late. Twelve weeks is a comfortable runway for a team of ten to fifty people. Under eight weeks and you are choosing from whatever happens to be available rather than what actually suits you.

Here is the timeline we use with clients, written so you can lift it straight into your own project plan.

Weeks 12 to 10: define the brief and check your notice

Confirm your headcount for the next twenty four months, not today's. Agree a realistic monthly budget, a maximum commute for your team, and the three things the space absolutely must have.

At the same time, read your current agreement. Serviced licences usually need one to three months' notice. Leases need far longer and may carry dilapidations liability, so get that assessed early rather than discovering it in week two of the move.

Weeks 10 to 8: search and shortlist

This is where a broker earns their keep. We compare the wider market, filter out buildings that will not meet your brief, and come back with a shortlist rather than a spreadsheet of eighty options.

Aim to view five to eight spaces across two or three days. Viewing them close together makes comparison far easier than spreading them over a month.

Weeks 8 to 6: negotiate and sign

Negotiate on the whole package, not just the desk rate. Rent free periods, included meeting room credits, parking, break clauses and fit out contributions are all normally movable.

Allow two weeks between agreeing heads of terms and signing. Legal review, references and deposits all take longer than anyone expects.

Weeks 6 to 3: infrastructure and suppliers

Order dedicated broadband immediately if you need it, as lead times can run to eight weeks on a new line. Book the removals firm, update your registered office and insurance, and arrange IT and phone porting.

Tell HMRC, Companies House, your bank and your key clients about the address change, and update Google Business Profile and your website footer so search engines pick it up early.

Weeks 3 to 0: exit and arrive

Arrange the schedule of condition and any make good works on your old space, clear storage, and shred or archive old files properly under UK data rules.

On move in day, have building access, passes, wifi credentials and a floor plan ready before anyone arrives. A first morning that just works sets the tone for the whole tenancy.
