Hybrid Working in 2026: How to Rightsize Your Office

Hybrid working has settled. Across the UK, most office based teams now spend around three days a week in the office and two at home, with Tuesday to Thursday the peak days. The businesses winning at hybrid are the ones sizing their space for how the team actually works, not for a five day past that is not coming back.

Here is how to think about rightsizing your next office in 2026.

Start with peak day occupancy, not headcount

The number that matters is how many people are in on your busiest day, usually a Wednesday. For most hybrid teams that is around 70 to 80 per cent of headcount. A 40 person team typically needs 28 to 32 desks, not 40.

Sizing to peak day, with a small buffer, is the single biggest cost saving lever most businesses have.

Trade desks for collaboration space

When people come in on hybrid days, they mostly come in to be together. Meeting rooms, phone booths, project tables and social space get used far more heavily than in a pre hybrid office. Aim for one meeting room per eight to ten desks and at least two phone booths per floor.

Serviced and managed operators build this ratio in by default, which is one reason flexible space suits hybrid teams so well.

Consider hot desking, carefully

Full hot desking works for sales and consulting teams that are used to it. For engineering, design and product teams, fixed desks on your in office days almost always work better, people want their monitor set up the way they left it.

A hybrid model, fixed desks for the core team plus a pool of hot desks for occasional visitors, is usually the sweet spot.

Keep some optionality

Hybrid patterns are still moving. A one to two year term on a serviced or managed floor, with a break clause, gives you room to resize if attendance shifts. Locking into a five year lease at 2026 attendance levels is the mistake most likely to cost you in 2028.
